More than just caffeine: coffee culture in the office

The coffee machine is the social anchor in the office. This is where teams exchange ideas, where ideas emerge. A bad machine demotivates, a good one becomes a meeting point. For facility managers and HR, that is exactly the lever: the machine pays into employee satisfaction, not beverage revenue. A vyndo coffee machine delivers coffee-shop quality. Whether espresso, flat white or hot chocolate, our machines use high-performance brewing units and precision grinders. On large touchscreens everyone chooses their favourite and adjusts strength and milk amount. That's appreciation you can taste, and it costs you as the site manager almost no administration.

Our technology: bean, fresh milk or topping?

Bean, fresh milk or topping

Bean-to-cup is the gold standard: freshly ground per cup. Fresh milk delivers the best taste but needs daily cleaning. Topping (milk powder) is low-maintenance and hygienically uncritical – ideal for floors without fixed service.

Touch display

Intuitive operation like on a tablet. Show company news or weather info during preparation.

Telemetry

The machine reports when beans run low or the grounds container is full. No more "out of order" trouble.

Contactless payment

Optional module for employee badges (RFID) or mobile payment. Ideal for subsidized prices (e.g. 50 cents/cup).

Easy care

Automatic cleaning programs guide the user step by step through the process.

Two bean containers

Offer an espresso roast and a mild crema roast in parallel. HACCP-ready: temperature monitoring with a digital logbook via telemetry. Hygiene documentation runs automatically.

Coffee as a benefit

Many companies provide coffee for free ('free coffee'). That is one of the most effective and uncomplicated employee benefits. Our machines record consumption precisely, so you can evaluate the costs per cost centre or department. Alternatively, 'fair use' prices: employees pay a small amount by card or chip that covers the material costs, and the billing runs fully automatically. In eco mode, the units power down the boiler at night, a cup sensor allows reusable cups instead of single-use waste, and on request we advise you on fair-trade filling products.

How facility managers use the coffee machine

Office & workplace

An operator sets up a coffee machine in an office. Employees buy espresso and cappuccino around the clock by card payment or smartphone. The telemetry app automatically reports when refilling is needed. The result: steady sales with minimal effort.

Co-working

In a co-working space stands a vyndo machine with a coffee range. The integrated digital signage screen shows product images and current offers. Especially at the weekend and in the evening, when the place is closed, the machine generates additional sales. The gross margin is 60–75%.

Reception & waiting area

In the reception or waiting area, the coffee machine becomes a quiet host. Visitors help themselves at the touchscreen while the digital signage screen shows company news or appointment info. For HR and facility management, that means a visible welcome signal without extra staff effort, because telemetry reports when beans or milk need refilling.

Coffee machine: technology, costs and profitability

The market for coffee in automated sales is growing. Customers expect availability around the clock and an uncomplicated buying experience. A vyndo coffee machine delivers exactly that. The investment cost is €2,000–7,000. With a gross margin of 60–75% and a busy location, expect payback within 6 to 12 months. The running costs are limited to power (about 3–5 kWh/day for chilled units), purchasing and, optionally, a SIM card for the telemetry connection. Typical locations for coffee machines: offices, co-working spaces, hotels, waiting rooms, canteens. The key advantage over classic sales channels: no staff needed, no opening hours, no shop rent. TSE-compliant under KassenSichV — mandatory for all machines with a payment function since 2020.

Product requirements and temperature

Coffee has specific requirements for storage and dispensing. Temperature: hot (85–95 °C brewing temperature). A water connection is needed, a bean container, automatic cleaning, a high margin per cup. Our software monitors the conditions continuously and automatically stops sales if limits are exceeded. That protects goods and customers.

Financing your coffee machine

You have three options: buying (€2,000–7,000), renting from a one-day term or leasing from €99/month. For facility managers and HR, renting is often the easiest way to start, because maintenance and service are usually included and the rate is tax-deductible as an operating expense. With leasing, the rates are also deductible. That keeps the administrative effort low and the costs per cost centre cleanly attributable.

Frequently asked questions about coffee machines

Do I need a fixed water connection?

Recommended for offices from 15 people. But we also have models with a large water tank (4-8 litres) for flexible locations.

How long does a cup take?

An espresso about 25-30 sec., a cappuccino about 40-50 sec. Our machines are built for throughput.

Who cleans the office coffee machine?

Daily rinsing programs run automatically, and once a week the brewing unit should be cleaned manually. For facility managers, that is the decisive point: the effort stays minimal and predictable. If you choose the topping version (milk powder) instead of fresh milk, the daily milk-system cleaning is almost entirely eliminated, which relieves floors without fixed service. Anyone who wants no internal effort at all books our operating service on top: then a service provider handles cleaning and refilling. Telemetry reports automatically anyway when the grounds container is full or beans run low, so there's no nasty out-of-order.

What does a cup cost in consumption?

Pure material costs (bean + milk) are between 15 and 30 cents per cup, depending on quality.

Can pots be filled too?

Yes, the pot function brews several cups in a row for meetings.

Is there cocoa too?

Yes, almost all our floor-standing units have containers for cocoa powder for hot chocolate.

Do you also sell the beans and filling products?

Yes, on request we deliver the complete service package including premium filling products: beans, topping and cocoa. That is especially practical for facility managers and HR, because procurement then runs from a single source and you don't have to deal with separate suppliers. We advise you on the right roast for your team and, on request, on fair-trade products. That keeps the coffee machine uncomplicated as a benefit: consumption is recorded per cost centre, reordering can be linked to telemetry, and the team gets consistently good quality without administrative effort for you.
